1. Login to the website as a consultant or an administrator. You can access the 'Post a Job' option by going to 'Jobs' menu option and choosing 'Add a new Job' from the dropdown.
To post a new vacancy, you must fill in all required fields to ensure the vacancy can be aggregated on third party sites, once you’ve added the job title you must choose the location and industry categories for the job.
Writing the Job Description. You can copy and paste from another source or Word document but please check formatting in this instance, if job description is not formatted correctly after pasting please either 'Paste as plin text' or paste into a text editor like Notepad to clear copied formatting. It is recommended not to adjust font colours and sizes to keep the look and feel of your website consistent.
a. This is a list of locations you can choose from for the job. You can only choose one location to describe the job. If the location you require is not listed you can choose to click ‘Add New’, this will open up a text box where you can add a new location. Once you click ‘Add’ the location is added to the location list, and you can then choose it. To edit / delete these location fields you must access the Admin Menu > Locations (You must first ensure that there are no jobs assigned to that location category before it can be deleted).
If you choose you can have two tiers of locations, for example core location 'USA' sub-locations 'New York' 'Washington' etc. Each tier 1 location will have its own list of tier 2 locations.
You can only choose one location for each job posted
Job Industry and Sub-industries
You can put each vacancy into the relevant sectors / industries / categories. You can manage these lists in the Admin section of the site when logged in as an administrator. When posting a job you are able to add new location, industries, sub-industries.
Industry - this is the core category for your Recsite, it can be called differently on the front-end site, however you can only put jobs into ONE industry category (And one corresponding sub-industry).
Sub-Industries - These are specific to each Industry and must created for each. You can only choose one sub-industry for each job posted, however Candidates are able to select multiple sub-industries when registering (the same list).
NOTE: Sub-industries are mapped to each Industry. You can only choose one industry and sub-industry for each vacancy.
Hours and Salary
a. You must select either full or part-time and temporary or permanent. Salary can be shown as hourly or annually, you must then choose the right salary bracket from the next drop down. This is used for searching the salary database. You should specify the exact salary for the salary description; this will be displayed on the job advert.
NOTE: You can edit the 'hours' and 'salary' values in the admin section of the site.
a. Please choose a date when the vacancy is due to commence. This will be displayed on the front-end job description.
NOTE: If you want to show 'Ongoing' in job advert please select the tick box for 'ongoing'
a. This is for an internal reference that your company will use for the job. This reference number can be unique or can be used for multiple jobs. Recsite will automatically give the job a unique system ID.
Assigning jobs to consultants
Assign to consultant. Consultants will only see their own name listed here and are unable to assign job to different users. Administrators are able to assign jobs to any consultant so they can more easily manage their own jobs.
NOTE: Email notifications for job applications will be sent to the consultant / administrator who the job is assigned to. When a consultant is logged in and posts a job, they will automatically be the 'owner' of that job and will receive applications.
You can choose between three types of application method which candidates will see when applying for a job on the site:
Full Registration Required. This is the default option and requires the job applicant to fully register on the website in order for the job application to go through.
Quick Apply jobs are more suited to high-level jobs where you don’t want the applicant to have to go through the full registration process to apply.
If you choose this application method, job applicants are not required to fully register on the site. When they apply for a job, they are given the option to fill out a shortened form, which asks for contact details, CV attachment and acceptance of terms and conditions. Once application has completed the job seeker will be registered and taken to My Candidate Zone, where they can fill out the rest of their online CV and profile.
Choosing this option will divert applications onto a third party website. When a job seeker clicks ‘Apply’ they will be sent to the URL specified on this page. This is useful if you have an external ATS system, or are just using your Recsite for marketing your vacancies.
By default this is set to Position not filled. Once the job has been filled you can set this value to Position filled which updates the status of the job in the system and allows you to measure the effectiveness of your recruitment process.
There are three different options for vacancy publication within the system:
1. Publish Immediately. This will publish the vacancy immediately onto your website, as soon as your press Save.
2. Do Not Publish. This leaves the job status as un-published and means the job is not visible on the website.
3. Publish as of… (date). This option lets you schedule a future date when the job will automatically be published.
PLEASE NOTE: You must ‘Save’ the job before moving onto the next sections of the job editing page. Preview shows how the job posting will be laid out on the front-end site.
Screening Questions (Killer questions)
These questions will appear after a job seeker clicks Apply for Job on the website, and must be answered correctly for the application to proceed. If a candidate answers at least one question incorrectly they will be blocked from applying for the job.
These multiple choice questions are designed to filter out applicants who do not answer all the questions correctly. All questions will need to be answered correctly for the application to complete. These questions can be qualification questions such as; Do you have a valid UK working visa?
Write the question into the top text box, and then add at least two possible answers. The application will only go through if the job seeker selects all correct answers. To determine the correct answer, make sure the tick box to the right of the answer is selected.
Once you have added these questions you can edit them by clicking on the question title text which will show the question and answers in editable form.
Post to External Sites
This section lets the user post the current job out to 3rd party job sites, job boards, job search engines and social media. The external sites that you have access to will depend on the configuration of your Recsite.
Each box in this section represents an external site to post to, you will see by the logo or title text which they are. The box will include information on the job board and an edit button which lets you update login details for the external job site.
If a job has not yet been posted to an external site you will see just the Post Job button. To send the job click this and you will be given either a Success! Message, or if the job was not posted successfully you will see an error message. This message is useful to determine why a job has not been posted on the external site
Edit site details. If you are receiving an error when posting a job, it is probably an issue with the username and password for your job board account. When you click on this you will see a pop up where you can update your contact and login information for the job site. If you are given a new username or password for the job site, you will need to update it here.
If a job has been already posted onto the job board, you will see two buttons Update Job and Delete Job. In most cases you can update a job on an external site without using up another job posting credit. Delete job simply removes the job from the external site at the next update cycle.
PLEASE NOTE: Depending on the job site, vacancies may not be loaded instantly and can take up to 24 hours to be updated onto the site.
When you have completed the one click posting click Finish to be returned to the vacancies database.
